Administrative Assistant
1. Qualification Requirements:
High School diploma or GED
Proficient in operating Microsoft Windows and using Microsoft Office applications (Word, Excel, Outlook)
Familiar with computerized accounting software
Must possess strong keyboarding skills
Experience at working both independently and in a team-oriented, collaborative environment
Ability to conform to shifting priorities, demands and timelines
Reacts to project adjustments and alterations promptly and efficiently
Flexible during times of change
Strong written and oral communication skills
Strong interpersonal skills
Must be able to learn, understand, and apply new technologies
Must possess strong customer service skills
Required to work independently on a wide variety of jobs
Ability to effectively prioritize and execute tasks in a high-pressure environment

4. Special Circumstances of the Job:
Must be able to work more than 40 hours when required
Must be able to sit/stand for extended periods of time
Must be able to lift 30 lbs
Must possess dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices and objects
Must be physically able to participate in training sessions, presentations, and meetings
5. Job Duties, Functions, Responsibilities:
Receptionist; answer phones, greet customers
Enter production reporting data
General business correspondence
Keep office equipment (phones/fax/copier) up to date and operating in an acceptable manner
Meeting organization, coordination
Assist Sales Department with mass mailing
Typing correspondence and forms as required
Distribute mail
Filing
Accounts Payable and Accounts Receivable Entry
Ordering/inventory of office supplies
6. Other Duties:
Execution of special projects as assigned 7. Quality Responsibilities:
Must be involved in quality activities and participate on quality improvement teams
Complete all quality training offered by the company
Submit quality improvement ideas 8. Results Expected:
Keep office organized and running in an efficient, productive manner 9. Personal Improvement:
Expected to set and reach one major and two minor goals per year
A major goal is the completion of a college level course or outside business related seminar
